Job Title: Documentation Engineer

Location: Lagos
Activities
With the increasing awareness of the need for proper information and knowledge management within the Company, it has become very important to constantly maintain good document management system . This allows a centralized information access and centralized archiving system. Regular contact with PRODOM users for training and technical supports is also very important.

Under close interaction and cooperation with the Documentation Lead and the QC Lead, the Services holder of the position shall be responsible for:


  • Producing and managing documentation fully meeting project and thus in line with the Documents Control team based in Lagos (UFR and Group PRODOM (GP) of the Project) for the implementation of client specifications in PRODOM.
  • Defining and implementing the procedures and methods to manage the documentations on Egina UFR activities as per SCNL’s scope of work (Numbering, Workflows, Data Management, Dematerialization and Archives) onshore and offshore in accordance with the user’s needs and the TOTAL specifications / tools.
  • Providing the SCNL UFR Construction Superintendent with all relevant information needed for Project Control reporting.
  • Maintaining and administering PRODOM Software.
  • Establishing archive of project construction documents (reports, planning, procedures, QA/QC etc).
  • The management of technical documents during Construction, Integration, Load out, Offshore installation, Commissioning and Start-up phases including management of the document register, receipt and transmittal of documents, and follow up of comments on documents.
  • The administration of the fabrication/construction final deliverables and closeout report, together with appropriate archive system.
  • The development and management of project documentations including the procedures, statistics and appropriate archiving such that all relevant documentation produced during the project life can be readily and efficiently recorded, distributed, tracked and retrieved at all times.
  • Ensuring that all project final documentations are received and are handed over in the correct formats and on time as required by UFR package.
  • Ensuring that UFR PRODOM is implemented and populated properly (set-up of the values, functional tests of the database, mass import of the data).
  • Checking the progress of documents production by Contractors and sub-Contractors in coordination with Planning Engineers.
  • The management of technical and correspondence documents during the project.
  • Ensuring proper deployment of the project PRODOM database to the project personnel.
  • Organizing Technical Support of the PRODOM database to end users.
  • Organizing as required training to the end users for the use of PRODOM.
  • Writing necessary procedures for an efficient use of PRODOM by the end users.
  • Acting as PRODOM/related tools focal person in four locations (PCNL, EWT, SCNL and IMS).
  • Defining and implementing the strategy for Documentation Management System.
  • The development and maintenance of structured documentation.
  • Carrying out PRODOM evolution and define needs accordingly.
  • Managing the use and delivery of PRODOM related/typical tools within SCNL’s package.
  • Liaising with IT on all issues relating to PRODOM Server problems and installation at the four sites.
  • Providing advices, following up on any deficiencies of PRODOM and is the project focal point for all these issues.
  • Preparing documentation requirement for Audit purposes.
  • Preparing reports as required by Management.
HSE
  • Contributes to meet UFR HSE objectives while ensuring HSE requirements are taken into consideration during the construction phase to minimize risk to people and Company/contractor assets, at any time during the project phase.
  • Demonstrates leadership for implementation of Company HSEQ requirements and ensure on construction site the set up of the correct organization, that Contractor implement properly the HSE plan on the Construction Yards, the proper monitoring and recording of HSE performance of the sites.
  • Ensures that safe working practices are carried out within the construction team and the contractors in order to enforce Company HSEQ policy.
  • Provides construction input to the Construction Superintendent for UFR risks register update along with all mitigation measures in close coordination with CTR and CPY construction teams.
  • Participates in safety tours and Management visits as defined by UFR.
Accountabilities
  • Compliance with Project HSE KPIs and objectives by ensuring compliance with overall TUCN HSE requirements.
  • Ensures proper management of Projects documentations.
  • Manages the use of PRODOM within the locations to ensure efficiency.
  • Liaises with IST and PRODOM teams in Paris almost on daily basis to resolve technical and functional problems.
  • Writes and reviews entity Document Management Procedures.
  • Services requires technical competence in the use of PRODOM.
Qualifications / Experience Required
  • BSc in Management or Engineering.
  • 7 years Experience in Document Control or related field with at least 3 years Experience in Project environment and a recognized electronic document Management System.
  • A self-motivated natural leader with excellent communication and delegation skills.
  • Credible working relationships within multi-cultural teams.
  • Fluency in English both verbally and in writing.
  • Passionate about maintaining high standards.
  • Excellent work ethic and must be able to withstand fast-paced high pressure working environments.
